How the E-conomic integration works

The E-conomic integration automatically transfers your orders from Shoporama to E-conomic so you don't have to enter them manually. How exactly the integration works depends on your settings. Here we go through all the options.

When is the order transferred to E-conomic?

You can choose whether the order is transferred when it is paid or when it changes status to sent. This way you decide whether the accounts reflect the time of payment or the time of delivery.

Which accounts receivable will the sale be posted to?

You can create a collective accounts receivable in E-conomic, for example called "Webshop customers". If you enter this in the "Only use this debtor" field, Shoporama will post all sales to the one debtor. If you leave the field empty, Shoporama will create a new debtor in E-conomic for each customer. You can also choose whether Shoporama should use the customer's phone number or customer number (requires the customer to be logged in) as the debtor number.

How is VAT handled?

Shoporama automatically sets the correct VAT zone on the invoice in E-conomic. So you don't need to sort sales to private customers from sales to companies, or Danish sales from exports. The VAT zone is determined based on:

  • The customer's country of delivery
  • Whether the customer is private (B2C) or business with a CVR or EAN number (B2B)
  • Your own home country, which you set in the E-conomic integration settings

In practice, it looks like this:

  • Domestic sales - Sales to customers in your own country are booked in the domestic VAT zone, typically with 25% Danish VAT
  • EU business sales - Sales to companies in other EU countries (with a CVR number) are booked according to the reverse charge rules, where you as the seller do not charge VAT
  • EU sales to private customers - Sales to private customers in other EU countries are handled according to the OSS rules. Each EU country has its own VAT zone in E-conomic
  • Export - Sales to countries outside the EU are booked as exports without VAT

How are discounts transferred?

Discounts are transferred as separate lines on the invoice in E-conomic, so you can see exactly what type of discount the customer has received and how much it is. Shoporama divides discounts into three categories:

  • Gift cards and discount codes - Displayed as the "Discount" line on the invoice
  • Promotional discounts - Volume discounts, automatic promotions, and category discounts are shown as the "Promotional discount" line
  • Loyalty points - If the customer has redeemed points with the purchase, they are shown as the "Points used" line with the number of points used

The discount lines have a negative amount and are automatically deducted from the order total in E-conomic. The net amount is calculated based on the order's actual VAT rate, so it is correct for both Danish sales with 25% VAT, VAT-free B2B sales to the EU and exports to third countries.

Managing products

For Shoporama to create your order in E-conomic, all products must exist in E-conomic with a matching item number (SKU). Alternatively, the product can be created without SKU in Shoporama. If the product has no SKU in Shoporama, Shoporama will create the product itself in E-conomic at the first transfer.

What data is transferred from the product?

When an order is transferred, Shoporama sends the item number (SKU), product name and price to E-conomic. Other product information such as descriptions, stock status and product groups are managed in E-conomic.

When is the invoice posted?

You can choose whether the invoice should be posted automatically in E-conomic right away, or whether it should remain as a draft until you post it yourself. If you want extra control over your accounting, we recommend leaving invoices as drafts so you can review them before posting.
